Today, the focus is on something a bit more involved but maybe even more important: transcribing handwritten documents.<\/p>\n<h2>Why transcribe?<\/h2>\n<ul>\n<li><strong>Did you know that many young people nowadays aren&#8217;t even taught to read and write in cursive?<\/strong> Handwritten archival materials are more and more in danger of being unintelligible to the average person, but often they represent the most unique materials out there: personal diaries, letters, and notes from the famous, the infamous, and the unknown, detailing everything from a typical day to a major event.<\/li>\n<li><strong>Did you know that handwritten items in a digital repository are usually not keyword searchable?<\/strong> Computers need data in a form they can understand.\u00a0Optical character recognition (OCR) technology can attempt to read typewritten material and translate it to a computer-readable text file, but this technology doesn&#8217;t work on handwritten materials.<\/li>\n<\/ul>\n<p>The solution to both these problems is simple: we need a human to read and transcribe handwritten documents, both for others to read and for the computer to use in searching. Acumen makes this easy by providing a place for transcription\u00a0when viewing any image or listening to any audio file.<\/p>\n<h2>How does transcription\u00a0work?<\/h2>\n<p><a href=\"http:\/\/apps.lib.ua.edu\/blogs\/digitalservices\/files\/2015\/02\/transcription.png\"><img loading=\"lazy\" decoding=\"async\" class=\" wp-image-3139 size-medium aligncenter\" src=\"https:\/\/apps.lib.ua.edu\/blogs\/digitalservices\/files\/2015\/02\/transcription-300x268.png\" alt=\"Acumen's transcription pane\" width=\"300\" height=\"268\" \/><\/a><\/p>\n<ol>\n<li>Click the transcription\u00a0icon (looks like a sheet of paper),\u00a0found to the right of the main viewer window<\/li>\n<li>Type a\u00a0transcription\u00a0of the displayed image\u00a0into the entry box<\/li>\n<li>Click on the blue \u2018Add Transcript\u2019 button<\/li>\n<\/ol>\n<h2>You really want <em>me<\/em> to transcribe things?<\/h2>\n<p><img decoding=\"async\" class=\" alignright\" src=\"https:\/\/acumen.lib.ua.edu\/content\/u0003\/0001956\/0000001\/0001\/u0003_0001956_0000001_0001_2048.jpg\" alt=\"John Poor letter, circa 1863\" width=\"50%\" height=\"50%\" \/>Yes, you! We know transcribing documents\u00a0can be a\u00a0bit intimidating. Here&#8217;s some things to consider:<\/p>\n<ul>\n<li>You don&#8217;t have to be an expert\n<ul>\n<li>Don&#8217;t know what a particular word is? Transcribe it letter by letter anyway;\u00a0it might be a word or abbreviation we no longer use<\/li>\n<li>Can&#8217;t make sense of\u00a0a particular word at all? Use a question mark inside brackets to represent it [?]<\/li>\n<\/ul>\n<\/li>\n<li>You don&#8217;t always have to start from scratch\n<ul>\n<li>Some handwritten items have already been transcribed and just need someone to check the transcript\u00a0over and\u00a0help with harder to read words<\/li>\n<li>Some typed items have computer-generated transcripts that\u00a0you can correct; these will include a little orange box that says &#8216;OCR&#8217;<\/li>\n<\/ul>\n<\/li>\n<li>You don&#8217;t have to do an entire item\u00a0at once\n<ul>\n<li>Transcription is done on the page level, so\u00a0you can do as little as a page at a time<\/li>\n<li>In fact, if you can only do part of a page, that&#8217;s better than having no transcription at all; others can add to your work later<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h2>Does it really add anything?<\/h2>\n<p>Absolutely! Consider the\u00a0image above, a letter from a Confederate soldier\u00a0to his niece. Right now, the metadata carries a pretty good general description:\u00a0<em>John H. Poor writes his little niece, Fanny, about sleeping and eating arrangements in the army. He drew a few sketches to illustrate.<\/em><\/p>\n<p>A\u00a0lot of the interest is in those sketches. However, there&#8217;s also text, so having\u00a0a transcript gives the drawings a context:<\/p>\n<p><a href=\"http:\/\/apps.lib.ua.edu\/blogs\/digitalservices\/files\/2015\/02\/transcription-poor-letter.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-3140\" src=\"https:\/\/apps.lib.ua.edu\/blogs\/digitalservices\/files\/2015\/02\/transcription-poor-letter.png\" alt=\"John H. Poor letter transcription\" width=\"769\" height=\"597\" \/><\/a><\/p>\n<p>How about a more weighty example. <a href=\"http:\/\/purl.lib.ua.edu\/88927\">This diary<\/a> written by a Confederate soldier at the siege of Port Hudson\u00a0is 157 pages, but without a transcript, we only have a general description of the whole:\u00a0<em>This diary discusses Civil War battles fought in 1862 and 1863, especially the Siege of Port Hudson, a Confederate fortification on the Mississippi River in southern Louisiana.<\/em><\/p>\n<p>Below is a transcription of page 9:<\/p>\n<p><a href=\"http:\/\/apps.lib.ua.edu\/blogs\/digitalservices\/files\/2015\/02\/transcription-goble-diary.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-3156 size-full\" src=\"https:\/\/apps.lib.ua.edu\/blogs\/digitalservices\/files\/2015\/02\/transcription-goble-diary.png\" alt=\"James A. Goble diary transcription, page 9\" width=\"872\" height=\"598\" \/><\/a><\/p>\n<p>With a transcription, we can\u00a0learn so much here about what it was actually like at this siege:\u00a0James Goble is\u00a0tired of the war and prays for peace;\u00a0they were\u00a0using mounted weapons to attack Union boats; they made\u00a0African Americans do their hard labor; they used &#8220;cars,&#8221; probably railroad cars, for shipping things; they could still get sugar and molasses; and Port Hudson was a bit of a ghost town by this point in the war. And all this from just one page!<\/p>\n<p>Next time you&#8217;re looking at a handwritten document in Acumen, consider providing a transcription, especially if you&#8217;re already trying to make sense of that item\u00a0for your own research.
